A couple of days before

Inform your students about the following:

About the exam

  • What happens when the exam starts, how long before are they expected to log in? Be sure to communicate the exact date and time and what happens if they do not arrive on time.
  • If they need to have a valid ID document available to be able to confirm their identity during the exam.
  • If they are to be present in a place with well-functioning wifi and/or mobile data as a back-up.
  • If they need to clean their physical table where they sit. If only the approved accessories may be on the table.
  • How they can prepare a good environment for a home exam and how to set a good, ergonomic sitting position. Here you can find good tips and advice on this for students from student health, feel free to send this to your students.
  • What rules apply to having food and drink, are they allowed to eat and drink during the exam?

Software and technology

  • Explain that they should attend the exam with a well-charged computer and mobile phone, or to make sure that the devices are being charged during the exam.
  • If students are expected to use serial keys to get access to any software. Inform them if necessary, about how and when to access these keys and get access to the software.
  • Inform the students that they should make sure that they have an internet browser that is up to date. Internet Explorer does not work well for the tools used in online examinations.

Monitoring

  • Should Zoom be used, which meeting should the students connect to? Let the students try access the Zoom room beforehand, if they have problems connecting, refer them to this Zoom guide.
  • If you use Zoom for monitoring, inform the students on how this will be handled. Will the students be in breakout rooms? Are they expected to have a microphone/speaker on?
  • If the monitoring is carried out in a different way, inform them about it.
  • Inform the students if they need to clean their desktop on their computer. If the desktop should be cleared of icons and/or if the computer’s trash should be emptied.
  • If the students need a mobile phone for monitoring - provide an example of how the phone should be placed. Be sure to make clear what is to be filmed by the camera. Here you can find tips for the students on how to place their phone.
  • What rules apply for leaving the supervised area during the exam? Are there any planned breaks?

Hand-written examinations

  • If the exam is written on paper, how should the exam be submitted? Scanned and then submitted via a system or via email to someone? It could also be a good idea to refer to guides regarding creating PDFs. Here is information about this you can send to your students.
    If the handwritten exam is to be sent by post somewhere, provide information about the address or the hand-in location in such cases.

Pedagogical support

  • If you have students with pedagogical support, you may need to contact them individually.

Cheating

  • Be sure to inform your students about what is considered cheating during the exam. There is support for your students here, but it is very important that you are clear about what applies on your exam.
  • If the exam is to be written on paper, inform the students that pens, erasers, rulers, etc need to be prepared and in place before the exam.
